Depending on the technologies enabled on our website, we may collect:
- IP addresses.
- Browser and device information.
- Pages visited and website interactions.
- Referral sources.
- Cookies and similar technical information.
We do not intentionally collect more personal information than reasonably necessary for our business operations.
3. How We Use Information
We use inquiry details to respond, assess project suitability and prepare a quotation. If you engage VOLT X, we use the agreed project information to prepare estimates, communicate about the work, administer the service agreement, invoice, maintain required business records and address questions or disputes. Technical request data supports website delivery, security and abuse prevention.
Submitting an inquiry does not subscribe you to marketing. Any separate marketing communications are subject to applicable consent and unsubscribe requirements. We do not use your inquiry as authorization to publish your drawings or project details.
4. Confidential Construction Documents
VOLT X understands that electrical drawings, specifications, bid documents, and related project information may be commercially sensitive.
We use project information for purposes reasonably connected to evaluating, quoting, and performing the requested estimating services, administering customer relationships, and meeting legal obligations.
We do not sell customer construction drawings, estimating information, or confidential project documents.
We do not disclose confidential project information to unrelated third parties for their independent marketing purposes.
Project documents may be accessed by authorized VOLT X personnel and service providers where reasonably necessary to perform the contracted services.
Customers are responsible for ensuring they have the authority to provide project documents to VOLT X.
5. Secure Document Sharing
Drawing uploads happen separately from this website. After the initial inquiry, VOLT X arranges an invitation-based Google Drive folder for designated customer contacts to share drawings, specifications and project documents.
Do not put confidential drawings, bid pricing, passwords or sensitive personal information in the website inquiry form. Wait for the Google Drive invitation and document-handling instructions. Share only documents you are authorized to provide, and identify any confidentiality, residency or access restrictions before sharing them.
Google processes files and account-related information to provide its services under the terms applicable to the account. See Google’s Privacy Policy. Do not forward access invitations to unauthorized recipients. Contact us if access should be changed or revoked, or if you suspect unauthorized access.
Invitation-based sharing reduces unintended access but does not guarantee absolute security. Project-specific access and confidentiality arrangements belong in the service agreement.
6. Website Inquiries, Hosting and Document Sharing
Website inquiries — FormSubmit and email
Xkey AiE has no role in this website’s inquiry form or form-submission processing. Website inquiries are delivered to VOLT X through FormSubmit and email. Submitting this form does not create an Xkey AiE account.
When you submit our quote form, your entries are sent to FormSubmit for delivery to info@voltxestimating.com. Entries include your name, work email, company, project location, bid deadline, project summary, consent response and any optional answers you provide. FormSubmit and the email services involved process this information to deliver and handle the inquiry. Provider security or verification steps may also process technical request data. See FormSubmit’s privacy terms.
If you prefer not to use FormSubmit, email info@voltxestimating.com with a brief non-confidential inquiry. Email also involves third-party communications providers; it is not a drawing-upload channel or a guarantee of a particular storage location.
Project documents — Google Drive
Drawings and specifications are exchanged separately through invitation-based Google Drive sharing, as described in section 5. File content, contact identities and sharing permissions are processed to provide document storage and collaboration.
Website hosting and security
The website is hosted through Sites, with Cloudflare involved in delivery and security. Hosting and security services may process IP addresses, browser/device details, request times, requested pages and technical cookies to deliver the site and detect abuse.
We may also use providers for customer administration, accounting and payment processing where needed for an engagement. We limit information supplied for each function to what is reasonably necessary. These providers are distinct from a public disclosure of your project information. Provider terms and applicable processing agreements govern their services; VOLT X remains responsible for its own privacy obligations.
7. Estimating Software and Optional Client Accounts
Xkey AiE is the Official Estimating Technology Partner of VOLT X under a paid commercial partnership. It is the electrical estimating software VOLT X uses to perform estimating work, including takeoff, assemblies, labor and pricing within the agreed service scope. It is separate from website inquiry delivery and Google Drive document sharing.
When performing the agreed estimating services, VOLT X may process relevant drawings, quantities, pricing inputs and estimating records in Xkey AiE. This processing supports the estimating engagement; it is not processing of the website inquiry form. VOLT X independently manages its estimating services, quality control and client relationship.
VOLT X uses Xkey AiE software to prepare electrical estimates. For certain contracts, a client may request a separate Xkey AiE account for access to its estimating work and a later transfer. Where the contract includes this arrangement, VOLT X holds the account and pays the monthly subscription as part of the services agreement until transfer is requested. Client access, the transfer process, subscription responsibility and project-record handling are defined in the contract and applicable Xkey AiE terms.
While VOLT X administers the account, authorized VOLT X personnel may access the project information needed for the agreed services. Customer and other-user access is governed by the service agreement and account permissions.
A transfer request may require us to confirm the authorized requester and intended recipient and coordinate account administration with Xkey AiE. Before the handoff, the parties should document which account and project records are included, the effective date, permissions, subscription billing and any continuing VOLT X access. A transfer request is not permission to disclose unrelated customer information.
Transfer does not automatically delete records VOLT X must retain for the original engagement. Retention and applicable privacy requests remain subject to section 10 and the contract.
8. Disclosure of Information
VOLT X may disclose information:
- To authorized employees and contractors involved in delivering services.
- To technology providers supporting our business operations.
- With your consent or at your direction.
- Where reasonably necessary to administer an agreed customer service.
- Where required by law, regulation, court order, or lawful government request.
- Where reasonably necessary to protect legal rights, investigate fraud, or address security concerns.
- In connection with a legitimate business transaction, subject to applicable confidentiality and privacy requirements.
We do not sell personal information.
9. International Data Processing
VOLT X serves customers in the United States and Canada and operates from Alberta, Canada. Your information may be processed outside your province, state or country by the form-delivery, email, hosting, document-sharing, estimating and other service providers involved.
Provider locations and account settings determine where processing occurs. This policy does not promise Canada-only or United States-only storage or processing. Information processed in another country may be subject to that country’s laws and lawful access requirements.
If your project has country-specific storage, confidentiality or access restrictions, tell us before sending documents so we can determine whether the proposed workflow is suitable. Contact info@voltxestimating.com, marked “Privacy enquiry,” to request information about the providers, processing purposes and countries applicable to your engagement. VOLT X remains responsible for its applicable privacy obligations when using service providers.
10. Data Retention
Inquiry correspondence is retained for responding, quotation follow-up and relevant business-record purposes. For engagements, drawings, estimates, account records and communications may be retained for service delivery, agreed ongoing access, accounting, legal obligations and the handling of disputes or claims.
The applicable period depends on the record type, contract and legal requirements. We do not state a single retention period for all records. Ask us about the retention arrangements before sharing documents if your project requires a specific deletion date or record schedule.
You may request deletion or withdrawal of access by emailing info@voltxestimating.com. We assess requests under applicable law and contractual requirements. Some records may need to be retained; removal of live access does not necessarily remove provider backups immediately. Where information is no longer required, we take reasonable steps to delete, destroy or anonymize it.
11. Information Security
VOLT X uses reasonable administrative, technical, and organizational safeguards appropriate to the information being handled.
These may include access restrictions, account authentication, controlled document sharing, and other measures intended to reduce unauthorized access, disclosure, alteration, or loss.
No security system is completely risk-free.
We cannot guarantee absolute security of information transmitted or stored electronically.
12. Cookies and Website Analytics
Hosting and security services, including Cloudflare, use technical request information and may use cookies to deliver the site, distinguish legitimate traffic and prevent abuse. When you submit the inquiry form, FormSubmit’s own verification or security pages may also use cookies under its privacy terms.
The current website does not embed a dedicated third-party advertising or analytics tag. If we introduce non-essential tracking, we will update the relevant disclosures and obtain consent where required before activating it. You can manage cookies through your browser; restricting them may affect provider verification or other functions.
13. Your Privacy Rights
Depending on applicable law, you may request access to or correction of personal information, ask about its use or disclosure, request deletion, withdraw consent where processing relies on consent, or raise a privacy complaint. Some rights are subject to legal, contractual and record-retention limits.
Email info@voltxestimating.com with the subject “Privacy enquiry” and describe your request and relationship to VOLT X. Do not send identity documents or sensitive information unless we arrange an appropriate verification method. We may need proportionate identity or authority verification before providing records or changing access.
We will respond under the requirements and time limits that apply to the request and explain relevant limits. You may also contact the privacy regulator with jurisdiction over your concern. A website inquiry does not waive your applicable privacy rights.
14. Third-Party Websites
Our website may contain links to third-party websites, including technology providers and business partners.
VOLT X is not responsible for the privacy practices or content of websites operated independently by third parties.
We encourage visitors to review the privacy policies of those websites.
15. Children's Privacy
Our website and services are intended for businesses and professional users.
We do not knowingly collect personal information directly from children.
16. Applicable Privacy Laws
VOLT X is based in Alberta, Canada.
We handle personal information in accordance with applicable privacy legislation, which may include Alberta's Personal Information Protection Act (PIPA), federal Canadian privacy legislation where applicable, and other relevant privacy requirements.
Where our activities become subject to additional privacy laws in other jurisdictions, we will comply with applicable obligations.
17. Changes to This Privacy Policy
VOLT X may update this Privacy Policy periodically to reflect changes in our services, technology, legal requirements, or business practices.
The updated policy will be posted on our website with a revised effective date.
